Through this Privacy Policy, REMOTE MONITORING SERVICES, S.L. (hereinafter, RMS) informs users of the uses to which personal data collected on this website is subject, so that they may freely and voluntarily decide whether to provide the requested information. Data will be collected exclusively for specified, explicit and legitimate purposes, and will not be further processed by RMS in a manner incompatible with those purposes.
This Privacy Policy may change over time or be updated, so we recommend reviewing this page periodically.
Who is responsible for processing your data?
The data controller responsible for the personal data obtained is REMOTE MONITORING SERVICES, S.L., with registered office at Parque Científico Tecnológico de Gipuzkoa, Paseo de Miramón 170, Piso 3, Local 8, Donostia–San Sebastián (Gipuzkoa), Spain. Its email address is [email protected].
For what purpose do we process your personal data?
We process information to answer enquiries, arrange demonstrations and meetings, and manage the related business relationship. The website contact form forwards submissions to HubSpot, which we use to manage these requests.
The form collects your name, surname, company, email address, enquiry selections and message, including any interest you indicate in a Servitization Index assessment. It also supplies the referring page context. If a HubSpot browser identifier is already present, the backend may include it with the submission. This server-side form integration does not itself install HubSpot tracking cookies or load HubSpot's browser analytics script.
The meeting link opens an external Google Calendar booking page. Information you enter there is processed to arrange your appointment and under Google's applicable privacy information.
On the production website, Google Analytics 4 measures website use only after you accept analytics. Measurements include page views and clicks on contact, email and booking links, together with technical browser/device information. Our explicit analytics events do not include contact-form values. A booking-link click is not confirmation that a meeting was booked. Rejecting analytics does not prevent you from contacting us or requesting a meeting.
How long will we retain your data?
Personal data provided will be retained for as long as the contractual or business relationship is maintained, for the legally established periods, without prejudice to the data subject's right to request deletion.
At the end of the relationship, data will be blocked to prevent further processing, except for making it available to Public Administrations and Courts, for the duration of the statute of limitations for liabilities arising from the processing.
RMS will cancel or rectify data when it is inaccurate, incomplete, or no longer necessary or relevant for its purpose.
Cookie lifetimes and storage of your analytics choice are described in the Cookies Policy. Browser-cookie expiry is distinct from the retention of data already received in Analytics or HubSpot. Withdrawing analytics consent stops future collection by this integration; it is not an automatic deletion request for previously collected data. You can exercise your data rights using the contact details below.
What is the legal basis for processing your data?
Processing necessary to respond to a request for a service or demonstration and to take steps at your request before entering into a contract is based on Article 6(1)(b) GDPR, where applicable. Where processing is based on consent, you may withdraw that consent at any time. Processing required by a legal obligation is based on Article 6(1)(c) GDPR.
Optional analytics is based on your separate consent (Article 6(1)(a) GDPR). Accepting analytics is not a condition for submitting an enquiry. You can withdraw analytics consent through Cookie settings at the bottom of the website; withdrawal does not affect the lawfulness of earlier processing.
To which recipients will your data be disclosed?
We use service providers to operate the website and handle requests: HubSpot for contact submissions and customer relationship management, Google for optional Analytics and external Calendar bookings, Cloudflare for website delivery, and Sanity for content infrastructure. Providers may receive information needed to deliver their services. Public authorities may receive information where legally required. We do not sell the information submitted through the contact form.
These providers operate internationally, and their services may involve processing outside the European Economic Area, including in the United States. Applicable locations and transfer arrangements depend on the service and account configuration. HubSpot describes its transfer mechanisms in its Data Processing Agreement; Google describes its arrangements in Data transfers. These provider documents do not establish the configuration or contractual safeguards of a particular RMS account. You may contact [email protected] for information about the safeguards applicable to your data and how to obtain a copy.
Further provider information: HubSpot privacy, Google privacy, Cloudflare privacy and Sanity privacy.
We use technical and organizational measures intended to protect personal information against unauthorized access, alteration and loss.
What are your rights when you provide us with your data?
Anyone has the right to obtain confirmation as to whether RMS is processing personal data concerning them.
Data subjects have the right to:
- Access their personal data.
- Request rectification of inaccurate data.
- Request deletion of their data when, among other reasons, it is no longer necessary for the purposes for which it was collected.
- Request restriction of the processing of their data in certain circumstances.
- Withdraw consent at any time, without affecting the lawfulness of processing based on consent prior to its withdrawal.
- Object to the processing of their data for reasons related to their particular situation.
- Request the portability of their data to another controller, in a structured, commonly used format, where technically possible.
You may exercise these rights by emailing [email protected] or by post to Parque Científico Tecnológico de Gipuzkoa, Paseo de Miramón 170, Piso 3, Local 8.
You can obtain further information about your rights, and file a complaint if you have not obtained satisfaction, with the Spanish Data Protection Agency (AEPD) (www.aepd.es).
